Thank you for choosing Podwise! Protecting your privacy is important to us. This Privacy Policy explains how we collect, use, disclose, retain, and protect your personal information through the Podwise website, mobile application, the Podwise integrations for AI assistants (such as the Podwise plugin for ChatGPT and the Podwise MCP server), and related services (collectively, the "Services").

Information We Collect

We only collect personal information that is necessary for providing the Services. The categories of information we collect are:

  • Account information: Your name and email address. If you sign in with Google or Apple, we receive the basic profile information that provider shares with us, such as your name, email address, and profile picture. Most users sign in with Google, Apple, or a one-time code sent by email. Setting a password is optional; if you set one, it is stored only in hashed form by our authentication provider.
  • Subscription and payment information: Your plan, subscription status, and transaction records. Payments are processed by Stripe or Apple. We do not receive or store your full payment card number.
  • Content you provide: Audio files you upload, questions you ask Podwise about episodes, clips and notes you create, and the podcasts and episodes you follow or save.
  • Usage information: Information about how you interact with the Services, such as podcasts summarized, summaries generated, account preferences, and features used.
  • Device and log information: Information about the device and software you use to access the Services, such as IP address, browser type, operating system version, app version, and the time of your requests. We use this information to operate, secure, and troubleshoot the Services.
  • Cookie and analytics information: Information collected through cookies and similar technologies on our websites, as described in "Cookies and Analytics" below.
  • Public podcast audio: Podwise may temporarily access the audio of publicly available podcast episodes to create transcripts, summaries, and other AI-generated results. Podwise does not retain copies of the original audio files for public podcast episodes. We may retain the transcripts and other generated results to provide the Services.
  • Uploaded audio: Audio files that you upload to Podwise are stored so that we can provide transcription and related features. You can delete your uploaded audio files from your Podwise account.

How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve the Services
  • Create and deliver podcast transcripts, summaries, and answers to you
  • Process payments and manage your subscription
  • Communicate with you, such as by sending you announcements and notifications
  • Understand usage trends to analyze and improve the Services
  • Protect the security of the Services and prevent abuse
  • Comply with legal obligations and enforce our Terms of Service

We do not sell your personal information to third parties.

Who We Share Information With

We only disclose information to third parties to provide and improve the Services, comply with legal obligations, and protect rights and safety. The categories of recipients are:

  • AI model and compute providers (Runpod, Google Gemini, and OpenAI): Process audio, transcripts, and the questions you ask so that we can generate transcripts, summaries, and answers.
  • Cloud hosting and infrastructure providers (Vercel and Cloudflare): Host the Services and store and deliver data.
  • Authentication providers (Supabase, and Google or Apple if you choose to sign in with them): Verify your identity and manage sign-in.
  • Payment processors (Stripe and Apple): Process payments and manage billing.
  • Analytics and feedback tools (Google Analytics, Microsoft Clarity, and Tally): Help us understand how our websites are used and collect the feedback you submit.
  • Email service provider (Google): Delivers the emails we send you.
  • AI assistants you connect: When you use Podwise through an AI assistant such as ChatGPT, the results of your requests are returned to that assistant. See "AI Assistant Integrations" below.
  • Apps you connect: When you ask Podwise to send or export content to a third-party app that you have connected, we share that content with that app.
  • Authorities and other parties: When required by law, or when necessary to protect the rights and safety of Podwise, our users, or others.

Cookies and Analytics

Our websites use cookies and similar technologies:

  • Essential cookies keep you signed in and remember your preferences.
  • Analytics tools (Google Analytics and Microsoft Clarity) collect information about how visitors use our websites, such as pages viewed, clicks, scrolling, device and browser type, and approximate location derived from IP address. These tools are loaded, and analytics cookies are set, only after you consent to analytics cookies.
  • If you arrive through a partner's referral link, we store a referral cookie for up to 30 days so that a resulting subscription can be attributed to that partner.

You can accept or decline analytics cookies in the cookie banner on our websites, and change your choice at any time through the "Cookie Preferences" link in the footer of our website. If you withdraw your consent, the analytics tools stop running and the analytics cookies they set on our websites are removed. You can also block or delete cookies in your browser settings, and opt out of Google Analytics with the Google Analytics opt-out browser add-on. Declining or blocking analytics cookies does not affect your ability to use the Services.

These analytics tools run only on our websites. They are not part of the Podwise integrations for AI assistants.

AI Assistant Integrations

You can connect Podwise to AI assistants, such as ChatGPT, through the Podwise plugin or the Podwise MCP server. When you do:

  • Authorization: You sign in to your Podwise account and explicitly authorize the connection. The integration never asks for your password, one-time codes, API keys, or payment card details.
  • What we receive: Only the specific inputs the assistant sends when it uses a Podwise tool on your behalf, such as search terms, the podcast or episode you refer to, questions you ask about an episode, clips you ask to create, and audio files you choose to upload. We do not receive, request, or reconstruct the rest of your conversation with the assistant.
  • How we use it: Only to carry out the action you requested, return the result, and keep your Podwise account up to date (for example, saving a clip you asked to create). We do not use it for advertising or behavioral profiling.
  • What we return: Content from your Podwise account and public podcast content relevant to your request. Once returned, that content is handled by the provider of the AI assistant under its own privacy policy.
  • Retention: Content saved to your Podwise account through an integration is retained in the same way as content you create directly in Podwise. See "Data Retention" below.
  • Your control: You can disconnect Podwise at any time in the settings of the AI assistant, which revokes its access to your Podwise account.

Please do not submit payment card details, health information, government identifiers, passwords, or other secrets through an AI assistant integration. Podwise does not need them to provide the Services.

Data Retention

  • Account, subscription, content, and usage information: We retain this information for as long as your account exists. When you delete your account, your data is permanently deleted at the same time.
  • Uploaded audio: Audio files you upload are retained for no longer than 180 days after upload, after which they are automatically deleted. You can delete them earlier at any time.
  • Public podcast audio: We do not retain copies of the original audio files for public podcast episodes. Transcripts and other results generated from public podcast episodes are not personal information and may be retained to provide the Services.
  • Cookies: The referral cookie expires after 30 days. Google Analytics cookies expire after up to 2 years and Microsoft Clarity cookies after up to 1 year, unless you withdraw your consent or delete them earlier.
  • Payment records: Our payment processors keep transaction records independently, as required by financial and tax laws and under their own privacy policies.

Your Choices

  • Access and deletion: You may access, download, and delete your Podwise account information at any time. You may also choose to have your account deactivated. If you need help, contact [email protected].
  • Uploaded audio: You can delete audio files that you uploaded to Podwise from your account. Deleting an uploaded audio file removes it from the Services.
  • Emails: You can unsubscribe from notification emails using the link included in those emails.
  • Cookies and analytics: You can accept or decline analytics cookies, change your choice later in the cookie preferences, and block or delete cookies, as described in "Cookies and Analytics" above.
  • AI assistant integrations: You can disconnect Podwise from an AI assistant at any time in that assistant's settings.
  • Sign-in method: You can choose how you sign in. You are not required to set a password.

Podcast Owner Requests

If you are a podcast owner or an authorized representative, you may ask Podwise to prevent your podcast or specific episodes from being processed by the Services. We may request information reasonably necessary to verify your authority before applying the restriction. To submit a request, contact [email protected] and identify the podcast or episodes concerned.

Our Commitment to Security

We employ appropriate technical and organizational measures to protect your information. Data is stored in secured facilities and transmitted using encryption. While we work hard to protect your privacy, we cannot guarantee the security of all transmitted information.

Changes to this Policy

We may occasionally update this Policy to comply with laws and reflect improvements to our Services. Please check the Policy each time you use Podwise to stay updated.
